Business transformation: we analyse your processes and implement what will pay off

Before building anything, you need to understand exactly what is breaking and what it costs. Sometimes the audit concludes that you don’t need AI yet — you need a CRM. We’ll say so plainly and show the numbers.

Two ways in

Free express diagnostic. A single conversation: we look at how your processes work today and tell you where money and hours are being lost. Afterwards you know whether automation makes sense at all and where it is sensible to start. If it doesn’t make sense, we’ll tell you.

Paid audit. A fixed-term engagement with a deliverable you keep:

  • an “as is” process map — based on observing real work, not on written procedures;
  • automation and AI adoption opportunities, ranked by return;
  • an estimate of the impact in money and hours for each opportunity;
  • a roadmap: what to do first, what to do second and what not to do at all.

Two commitments to honesty

The roadmap belongs to you. You can implement it with Define or with any other team. We don’t build a dependency on us into the deliverable.

The cost of the audit is credited if you order development. The audit is not a sales funnel disguised as consulting: if the findings show you are better off not doing the project, you will hear that.

Where AI pays off for SMEs — and where it doesn’t

Three scenarios where AI delivers real impact in small and medium-sized businesses: sorting incoming requests, document recognition and routine data entry, and answering standard customer questions. In each case the impact is measured in staff hours and customers not lost — and it is calculated before implementation, not after.

When you don’t need AI: if you get a dozen requests a day and your records fit into a spreadsheet, what you most likely need is a properly configured CRM and simple automation. That audit finding will save you budget — and it is a result of the work, too.

We publish ranges so you don’t waste time on “we’ll call you back with a quote”.

Process

How the work goes

Six stages, each with a deliverable you keep.

  1. Step 01

    Discovery: defining the problem

    We work out what has to change in the business — not “which pages the site will have”. We look at the processes and fix the goal, the success metric and the budget range.

    You get Process map, roadmap and metrics passport

  2. Step 02

    Design: you see it before a line of code

    You see the future product in advance: structure, user flows, a clickable prototype. Changes at this stage cost hours, not weeks of rework.

    You get Prototype and design system

  3. Step 03

    Development: working in the open

    In iterations: every one to two weeks we show a working piece of the system, not a progress report.

    You get Working system and source code with IP transfer

  4. Step 04

    Launch and training

    Launch by checklist: domains, integrations, analytics. We train your staff on the system before we move into support.

    You get Launch checklist, trained team and before/after figures

  5. Step 05

    Support

    The system runs — and that’s our responsibility, not “ping us if anything comes up”: monitoring, updates, incident response within agreed times.

    You get SLA with defined response times

  6. Step 06

    Evolution

    We watch how the system behaves with real users and improve what will have the biggest effect — based on numbers, not guesses.

    You get Iteration plan

Questions

What clients ask about this service

How is the express diagnostic different from a paid audit?

The express diagnostic is a free conversation, after which we tell you where your processes are losing money and hours, and whether anything is worth automating at all. A paid audit is a piece of work with a fixed timeline and a deliverable: a process map, automation opportunities, the impact estimated in money, and a roadmap.

What if we decide not to work with you after the audit?

That’s a perfectly normal outcome. The roadmap belongs to you — you can implement it with Define or with any other team. The audit fee is credited if you order development from us, but the roadmap stays yours either way.

How long does an audit take and what do you need from us?

Express takes 1–2 weeks, full 3–6 weeks. We need access to the people who actually run the processes, and a chance to see how the work is done on site. We read presentations and procedures too, but the real process almost always differs from the documented one.

Let’s start by defining the problem. It’s free.

Tell us what you want to change in your business — in one conversation we’ll work out which tool solves it, what it costs and when it pays off.

  1. 1. We reply within two business hours (Mon–Fri, 9:00–18:00, UTC+5)
  2. 2. A 30-minute call to clarify the task
  3. 3. We send a proposal with an estimate and a timeline range
